Demonstration Points

If participants are going to work on their computers,

  • verify that all have the EWDS application downloaded (and sample data either loaded or available to load) or
  • distribute flash drives with PC and Mac versions of fabricated sample data to load.

If participants are going to view a demonstration of the EWDS, below are 12 of the important aspects of the system that should be addressed. To demonstrate steps 4 and 7–11, it will be necessary to enter sample interventions for 3 of the sample students. See item 15, “Tracking student interventions” in the online help document for instructions.

EWDS 1

EWDS Title

  • Highlight the online Help system that includes tutorials for many of the important features. The “?” button throughout the database directs users to topic-specific information in this help system.
  • Click on Start to open the application.

Campus
Set-Up

  • Cohorts, SLCs, or homerooms can be the organizational unit for the student data. Data sets must then be imported by the organizational unit.
  • Show/edit campus and its features:
    • 6-weeks or quarter system organization
    • Credits required to move to 10th grade
    • GPA scale

Cohort Set-Up

Open sample cohort data (student data should be pre-loaded for the training).

Student Data Screen

  • Tab 1: Student Data: Set-Up—Discuss importing data; show help again (“?” button) and explain that it is available throughout the database; assure that after importing data once, it becomes easy. Also show how to add an individual student on the right side of the screen when the Student Data: Set-up tab is opened.
  • Tab 2: Semester 1 Data—review the headings and how the title will be shown when highlighted.
  • Tab 3: Semester 2 Data—same as Semester 1.
  • Emphasize that interventions can be implemented at
    • 20 to 30 days into the school year, based on attendance;
    • at each grading period, for attendance and course performance; or
    • during the summer or at the beginning of the next year, with the end-of-the-year on-track and off-track calculation.
  • Tab 4: Full Year: Cumulative Summary Report
  • Point out the 3 students with interventions.

Student Details

  • Show Demographic Data on the left; custom fields may be added for additional demographic information.
  • Show the 3 Performance Data sections (Attendance, Academics, and Behavior) on the right; review behavior issues—that there are no benchmarks. (Behavior was requested by LEAs)
  • Show the Flags—set to criteria established by research. The school or district will set flags for behavior.
  • Show custom fields.

  • Print Student Summary—print or show this report, which allows information to be shared for collaborative planning.

Student Detail—Inter-vention Plan

  • Show Student Interventions
  • Click on an intervention to show Intervention Details screen, with the implementation and impact data noted for verifying the success of the intervention.

  • Print Interventions Report—print or show the report.

A significant strength of the database

  • Show the Intervention Tracker—a real strength within this application!
  • The student improvement can be observed and analyzed during the intervention implementation, as well as before and after it. This allows for adjusting the intervention to increase student success.

  • Show the Reports screen.
  • Show the pre-defined report, 3. Cohort Summary: At-Risk Students—flagged for attendance; emphasize the attendance issue at the school.

Custom summary reports

  • Show custom report, 5. Custom Summary Reports; share types of searches that are possible (e.g., all ELLs or all male students who have been retained). This allows for customization of interventions.

  • Summary of EWDS
  • This system allows schools to be proactive and attend to leading indicators. Historically, schools have been reactive, waiting for lagging indicators (e.g., end-of-the-year scores, grades, and dropouts).
